Getting started

How do I add Groupies to Slack?

Press Add to Slack on the homepage and approve it. That creates your group, and workspace admins become Groupies admins. Then run /groupies new in any channel.

How do I add it to Discord?

Press Add to Discord and pick your server. Someone with Manage Server or Manage Events then runs /groupies create; the first one sets up your group.

Does Groupies work with Basecamp?

Yes. A group admin connects Basecamp in Settings and links projects to a calendar. Groupies posts new events in each project’s Campfire and keeps its Schedule in step. People sign up on the web.

Can we use Groupies without Slack or Discord?

Yes. Sign up on the web and create a group. You can run everything from the web calendar, and public invites let anyone RSVP by link.

Does everyone need an account?

No. In Slack and Discord, people sign up from the event card. Guests answer public invites with their name and email. An account is only needed for the web calendar and settings.

Why did a link from Slack or Discord sign me in?

Links in messages only you can see, like a direct message or your App Home, open the website signed in if you have a web login. Each link works once, for a week, and only for you. Links in shared messages don’t.

Can I install Groupies on my phone?

Yes. Open groupi.es in your phone’s browser and add it to your home screen. It then opens like any other app.

Groups and circles

What is a group?

Everyone using Groupies together, such as a club, a guild or a chapter. A Slack workspace or a Discord server connects to one group.

What is a circle?

A set of people inside your group, such as coaches or a raid squad. Share a calendar with a circle and only its members see those events.

Can a circle follow a Discord role?

Yes. On the web, link the circle to a server role. Its members then follow whoever has that role in Discord.

Who can change settings?

Group admins manage the group, its calendars and circles. In Slack, workspace admins are group admins. A calendar can also have its own managers.

Calendars

Can a group have more than one calendar?

Yes. Give each activity its own calendar, and choose who sees each one: anyone with the link, every member, chosen circles, only you, or a Slack channel’s members.

What does a public calendar show?

A calendar set to Anyone with the link shows its events, and the names and notes of people who signed up, to anyone with the link. Embedded on another website, it shows counts only.

Can I show our calendar on our website?

Yes. Copy the embed code for any public calendar and paste it into your site. It stays up to date by itself.

Can I move an event by dragging it?

Yes, if you manage the event. On the web calendar, drag it to another day or time; on a phone, press and hold first. You can also edit its details in place.

Which views does the web calendar have?

Month, week, day and list. A multi-day event shows as one bar, all-day events come first, and icons mark what you’re going to (✓), might go to (?) and follow (🔔). Hover a day or time and press + to add an event there.

Can each calendar have its own colour?

Yes. Choose a preset or your own colour in Edit calendar. Its events show in that colour.

Event pages

What are the sections on an event?

An event’s page folds into sections: Who’s going, Photos & files, Share & invite and Organizer. Each shows a summary when closed. Your browser remembers which ones you keep open.

Can a slot have more detail than its name?

Yes. A slot’s details can hold up to 500 characters, including a link.

Files on events

How many files can an event have?

Up to 3, of 10 MB each. An event’s managers and group admins can add them, and anyone who can see the event can download them. Files are part of Plus.

Which kinds of file can I add?

Images, PDFs, Word, Excel and PowerPoint documents, and plain text or CSV files.

Are the files safe to open?

Groupies decides what each file is from its content, not its name. Images are rebuilt, and PDFs and Office documents with macros or anything else that can run are refused. Files always download rather than open in the browser.

Repeating events

How often can an event repeat?

Every week or every 2 weeks, on the days you choose, until a date you set or with no end. Groupies posts each date as it comes up.

Can I change one date without changing the rest?

Yes. When you edit a repeating event, choose Just this event, This and following events or All events. Sign-ups are kept per date.

How do I stop a series?

Edit it on the web and set an Until date, or run /groupies stop-repeating in Discord to cancel its upcoming dates.

Time zones

Which time zone do people see?

Their own. Cards and pages show each event in the reader’s zone, next to the zone it was planned in when they differ.

How do I change my time zone?

On the web, use the zone menu in the calendar’s toolbar. In Discord, run /groupies my-timezone. Slack uses the time zone in your Slack profile.

Calendar feeds

How do I get our events in Google Calendar, Apple Calendar or Outlook?

Subscribe to any calendar, or to Your events for everything you’ve signed up for. Each person gets their own link, which only shows calendars they can see.

Why hasn’t a change shown up in my calendar app?

Calendar apps check for updates on their own schedule, and Google can take a few hours. Make changes in Groupies, not in your calendar app.

Notifications

How do I follow an event?

Use Notify me on an event, a calendar or a group on the web, or press 🔔 Notify me on a Slack or Discord card. Events you organize or are going to are followed for you.

Where do notifications arrive?

In the bell on the web, by Slack or Discord message, or by email. Choose for each kind of news in Notifications, or switch to one daily digest.

How do I stop them?

Unsubscribe from anything in Notifications, or use the unsubscribe link in any email. You can also turn off all notifications at once.

Event photos

Who can add and see photos?

Anyone who can see the event. Guests can add theirs by scanning the event’s Photos code, entering their name and tapping Add photos.

Are photos kept at full size?

Photos are kept in high quality, up to 4096 pixels on the long edge. Location data is removed from every photo. Each group can store up to 100 GB.

How do I add a lot of photos at once?

Drag them onto the event’s gallery, or choose them. Each one shows its progress, with the total and the time left, and you can retry any that fail.

Can photos come from Slack or Discord?

Yes. In Slack, photos posted in the thread under an event’s card are added, and you get a message with a link to the gallery. Groupies joins the public channels it posts in, so this works without inviting it. The Add to event photos shortcut works on any message. In Discord, use 📸 Add photos or Add to event photos.

What happens to photos and files if Plus ends?

They become view and download only for 30 days, and admins can download everything as a ZIP from Settings → Plan. Admins get an email when Plus ends and then once a week, with the date and how much will go. After 30 days all photos and files are permanently deleted, unless you restart Plus first.

Chip-ins and payments

Where does the money go?

Straight to your group. Card payments and chip-ins go into your group’s own Stripe account. Venmo, PayPal, Cash App and Zelle payments from members go straight to the organizer.

What are the fees?

Stripe’s card fee applies to card payments and chip-ins, and whoever chips in can choose to cover it. Ticket payments by card also have a small Groupies fee. Venmo, PayPal, Cash App and Zelle have no Groupies fee.

Can I chip in every month?

Yes, to support the group, if its admins offer it and you’re signed in. You can cancel any time from the Support page. Chip-ins for an event are one-time.

Can I chip in anonymously?

Yes. Choose Chip in anonymously and you show as Someone to everyone, organizers included. Only the group’s payments export names who paid, for its records.

Who sees what I chipped in?

Organizers choose: only they see who chipped in, or people can see names, or names and amounts. Organizers always see it, unless you chipped in anonymously.

How do refunds work?

Card payments for a ticket are refunded within the window the organizer sets. For chip-ins, and for payments by Venmo, PayPal, Cash App or Zelle, ask the organizers.

Public invites and check-in

Do guests need an app or an account?

No. Guests open the link, enter their name and email, and answer. They can change or cancel from the private link in their email.

What does a guest bring to the door?

The QR code in their confirmation email. Where it’s set up, they can also save it to Apple Wallet or Google Wallet. A saved pass keeps the event details from when it was saved, and its code still works.

How does door check-in work?

Open the event and choose Scan tickets. Organizers and the door staff they pick can scan at the same time, the count stays in sync, and you can add walk-ups.

What if a guest can’t find their code?

Search for their name on the check-in screen and check them in from there.

What are the QR codes for?

Print them on a poster or download them. One opens the invite to RSVP, one opens the photo upload, and, when there’s something to pay, one opens the payment.

Who sees the guest list?

You choose what the invite page shows: the names of who’s going, counts only, or nothing. Only the organizers see guests’ emails.

Your domain and logo

Does our group get its own web address?

Yes, like yourgroup.groupi.es. Admins can change it in Settings → Web address. Your group's address shows its public pages; members sign in on groupi.es.

Can we use our own domain?

Yes. Point a name like calendar.yourclub.com at Groupies with one DNS record, and your public calendars show there. The help has the steps.

Can we add our logo and colours?

Themes and colours are free in Settings → Appearance. Your own logo is part of Plus.

Plus and pricing

What’s free?

Events in Slack, Discord, Basecamp and on the web, sign-up slots and RSVPs, calendars, circles, calendar feeds, notifications and reminders, themes, your own address and domain, and embeds.

What does Plus add, and what will it cost?

Event photos with 100 GB of storage, files on events, public invites with QR posters and door check-in, and your own logo. It will be $5 a month or $50 a year, per group rather than per person.

What is a founding group?

A group that joins before billing starts. Founding groups get Plus free at launch, and we’ll tell you well before anything changes.

Privacy and data

What does Groupies store?

What it needs to run your events: the events, who signed up and their notes, names from Slack or Discord, and your web account if you have one. For a public invite, a guest’s name and email.

Does Groupies read our chats?

No. In Slack it reads only photos replied in an event card’s thread and messages you pick with its shortcuts. In Discord it sees only messages you pick with Add to event photos.

How do I delete our data?

Contact us and we’ll delete your group’s or your own data. A guest’s RSVP is deleted with the event, or sooner if they ask.

Are payment records deleted too?

Records of payments and chip-ins (amount, date and payment reference) are kept as long as accounting and tax rules require, even after the rest is deleted.
